Ready to assign the Business Unit Admin role? Here’s everything you need to know!
Before you can assign the role, you’ll need to set up the ‘Business Unit’ attribute. This is a flexible attribute you can define however you’d like, such as by department or office location.

What is the Business Unit Admin Role?
Business Unit Administrator is a standard role that can be assigned to users or groups.
- This role grants permissions for Learn, Create, Assign, Report, and Administer.
Once the Business Unit Admin role is assigned to a user, that user automatically becomes the Admin for whatever Business Unit they belong to. You can assign multiple Business Unit Admins to the same Business Unit. However, you cannot assign one Business Unit Admin control of multiple Business Units.
- Take Grovo for example, we segment our business by office location (San Francisco or New York). When a user is assigned the Business Unit Admin role for San Francisco they are then able to manage only users in the SF office.
Is a Business Unit Admin able to manage Users and Groups?
Users: The Business Unit Admin is able to see all users within their Unit in the Users list. They have full functionality to manage these users (i.e. add, edit, and deactivate).
However, they are not allowed to add a user to a different Business Unit or try to remove a user from their Unit.
Groups: Business Unit Admins can create new groups of users in their Unit to leverage throughout the product. When a Business Unit Admin creates a new group, the ‘Business Unit’ attribute will be pre-selected for them, and they can add additional attributes with the ‘AND’ function.
Do Business Unit Admins have create access?
Business Unit Admins can publish a lesson, however, the lesson will only be published to the learners within their Business Unit.
The Admin can further limit publishing by selecting a specific group within the Business Unit, for instance, San Francisco Sales. However, the Business Unit Admin must have access to every user within that group, otherwise the group will not appear as an option to publish to
What lessons can Business Unit Admins access in Create?
A Business Unit Admin is able to view and edit any lessons in Create. However, they are limited to publishing only to learners and groups in their Business Unit.
Can Business Unit Admins plan and assign Campaigns?
A Business Unit Admin can assign Campaigns to any learner or group within their Business Unit.
The Admin is only able to see users’ assignments for their Business Unit. If they try to view assignments for users outside of their Unit they will receive an error message that the learner is not in their scope.
Are Business Unit Admins limited in the Campaigns they can view?
No, Business Unit Admins are able to see all Campaigns created across the organization and are able to assign Campaigns they did not create to assign to their Units.
What reporting data is available for Business Unit Admins?
A Business Unit Admin can only view users in their Unit in the 'detail’ reports. When filtering by user or group, the filter is limited to only users in their unit.
